The Five Step Framework for Email in 2026

It comes up again and again- email. So many leaders are drowning in emails, and for many different thinkers that has to do with avoidance and not being wired for so much email reading. So, I’m sharing how I manage email in 2026 with the technology that is now available to support those of us who don’t process best by reading. My AI agent reads out emails and takes down my dictated response.

Hey, the five-step framework I’m using to solve a leadership issue, you know, the one of too much written communication via email in 2026. So, as a leader if reading isn’t your number one communication style, you have options to stop avoiding and start enjoying written communication. Don’t let email bottleneck slow you down. I am done with reading email. Here’s my five-step framework I’m using to reclaim hours each week. First, I read less, listen more. My AI agent reads my inbox to me while I’m driving, sitting at my desk, or making dinner. I process tone better through my ears than my eyes. It’s really simple. Second, every email gets a next action tag immediately, action to take, place in the schedule, someone else complete, waiting. My inbox isn’t my to-do list, it’s Grand Central Station, and things are coming and going all the time with purpose. Third, unsubscribe or rule it right into the trash, it’s not essential. It’s so essential, I do not have time to process it again, or see it again. And fourth, I dictate my replies. My AI drafts the response, but then I play it back in audio. If it sounds like crap, I trash it. Authentic voice is one of the only currencies left in 2026, don’t waste it. Fifth, I’m being direct and calling it responsible directness.
